1.Event Information

*Please arrive with plenty of time to complete reception procedures, as we expect a large number of people to attend.

*We ask that you use public transport to come to the venue. The Event will finish after midnight.
Please check in advance what public transport you will need to get home before coming to the venue.

*Participants are responsible for their own travel expenses to the venue, as well as any communication costs incurred when applying or making inquiries about the Event.
*There is no compensation for expenses incurred by participants due to the cancellation or change of the Event.
2.Applying for the Event
Participation is by advance application only.
・How to apply: Please apply using the application form on the Event's special website.
・Application period: From 14:00 on November 22 (Thu), 2024 to 23:59 on December 9 (Mon), 2024.
*The application period may be extended depending on the number of applicants.
・Number of applicants: Approximately 1,500 people are expected to apply.
・When your application is complete, you will receive an email from the Management Office at the address you registered. If you are using an email filter or other function that blocks certain domains, please add “@tokyo-nighttime-project.jp” to your safe senders list in advance.
If you do not receive the automatic reply email, please check your settings and spam folder, and if you still do not receive it, please contact the Management Office.
・Only one application per group will be accepted.
・If you wish to participate with more than one person, the maximum number of people per group is 4.
Please select the number of people including yourself in the Number of Participants selection field.
If you are selected, the number of people who can participate in the Event will be limited to the number of people you indicated in your application.
・For safety reasons, we will not allow minors under the age of 18 to participate alone.
Minors must be accompanied by a parent or guardian when participating in the Event.
・If it is discovered that a participant is a member of a criminal organization, a person related to a criminal organization, or a member of an antisocial group as defined in the Tokyo Metropolitan Government Ordinance on Elimination of Organized Crime Groups, we will refuse their participation in the Event.
・If there are a large number of applicants, we will hold a drawing.
・Regarding whether you have been selected to participate (or the result of the drawing, if there is a drawing), we will contact the successful applicants only by email by December 17 (Tue).
(We will not contact unsuccessful applicants)
・Please note that we will not be able to respond to any inquiries regarding the results of the drawing.
・The sale or purchase of participation rights for this event is strictly prohibited. In addition, if it is found that the applicant has acted in a way that does not meet the requirements for application, such as failing to fill in the form, making a fraudulent application, engaging in clear commercial activities, or otherwise acting in a way that is offensive to public order and morals, the Organizer reserves the right to exclude the applicant from the drawing/participation.
・If there are any omissions or significant errors in the required information when applying, the drawing selection will be invalid.
・In the Event that the winner is unable to receive the announcement of their selection or other notifications from the Management Office due to incorrect registration of their email address when applying or a change of email address after applying, the Organizer will not be held responsible.
・The Organizer and Management Office shall not be held responsible for any damages incurred by applicants as a result of their application for this event, or for any damages incurred as a result of their failure to apply, except in cases where the Organizer or Management Office is responsible.
・If the applicant violates the Terms and Conditions of this application, or if the applicant accesses the website related to this event illegally or commits other illegal acts, or if there is a risk of this occurring, the application and selection of the applicant will be invalidated.
・The Organizer and Management Office will not be held responsible for any damages incurred by applicants due to the cancellation or change of this Event, except in cases where the Organizer or Management Office is at fault.
・This Event may be cancelled (including partial cancellation) or the content or venue may be changed due to unavoidable circumstances (bad weather, other reasons that would justify cancellation, etc.).
3.Day of the Event
・Any information regarding participation will be sent to the email address you registered. Please be careful so as not to overlook it.
・On the day of the Event, we plan to use 2D codes for admission. The Management Office will send the 2D codes to the email addresses of the successful applicants (or the representative of the group in the case of a group application) by December 26 (Thu).
・The 2D code will be read at the entrance to the Event venue. Please cooperate to ensure a smooth entry by preparing the 2D code display screen in advance, etc.
・Duplication of the 2D code for admission is prohibited. Even if entry is made using a duplicated 2D code, only the first person to register will be admitted, and entry may not be permitted for those who present the same 2D code afterwards.
・The information on the performers is subject to change (there is a possibility that it may change due to unforeseen circumstances in the future).
・In the event of bad weather, the Event may be canceled or the program may be changed. If the Event is canceled, we will contact you by the email address you registered when you applied to participate by 7:00 p.m. on December 30 (Sat), the day before the Event. We will also provide information on the special website, etc. In addition, the Event may be canceled, etc., on the day due to sudden changes in the weather.
・In principle, cancellations after being selected are not possible, but if it is unavoidable, please contact the Management Office.
・There will be no cloakroom or lockers available at the venue. Please take responsibility for managing your own belongings.
・The Organizer will not be held responsible for any injuries, loss of belongings or problems that arise between participants on the day.
・There is a limited number of parking spaces and bicycle parking spaces around the venue. We ask that you use public transport if possible.
・The event will be held outdoors. Please take measures to protect yourself from the cold as it is expected to be cold at night.
・Please follow the instructions of the staff to prevent injury.
・If you are injured or feel unwell during the event, please notify a nearby member of the staff.
・With the exception of certain areas, photography, recording and audio recording are permitted within the venue. Details of the times and areas where photography is not permitted will be provided at the venue.
Please note that any distribution of content for commercial purposes by visitors to the venue is prohibited.
4.Pictures and Videos Taken at the Event
・Pictures and videos will be taken by the press and staff during the event.
Please be aware that the photos, videos and comments taken will be used free of charge within the scope of use stipulated in ① to ⑤ below.
① I give permission for the Organizer or third parties designated by the Organizer to use these images in advertising materials and works, etc., which will be displayed in various media, including broadcasts, advertisements, printed matter, products, and various media (DVD-ROM, BD-ROM, Internet, etc.). I will not raise any objections even if the images are not used in the media.
② I do not object to the selection, optical creation, or deformation of these images.
③ I will not restrict the region or period of use of these images.
④ I will not request the provision of data for these images or printed materials produced from them.
⑤ I will not request the provision of samples of advertising materials or advertising works produced by the Organizer or a third party designated by the Organizer that use these images.
5.Handling of Personal Information
The Organizer will collect information from participants to the extent necessary for the smooth operation of the services provided at the Event. Information will be collected, used and managed appropriately as follows.

(1)Purpose of Use of Personal Information and Storage Period
The personal information you provide (input) will be used to contact you regarding the Event, to provide you with information, to respond to your inquiries, and for other purposes such as to apply for participation in activities (This includes the use of statistical information that does not identify individuals, such as analysis of place of residence, age, and participation programs). The personal information will be used within the scope of the above collection purposes, and will be promptly destroyed after the Event.
(2)Provision of Personal Information to Third Parties
In the event of an incident or accident, etc., there is a possibility that we will provide electronic data or paper media to third parties such as hospitals and police stations.
(3)Outsourcing the Handling of Personal Information
In some cases, we may outsource the handling of all or part of the personal information to the extent necessary to achieve the purpose of use in managing the Event.

6. Q&A
・Who is the event being organized by?
⇒The event is being organized by the TOKYO NIGHTTIME PROJECT Executive Committee, with the Tokyo Metropolitan Government as a co-organizer.
・Do I need to bring anything?
⇒You don't need to bring anything, but please take measures to keep warm as it is expected to be cold at night.
・Will the event still be held if it rains?
⇒If it rains lightly, the event will be held as usual.
If there is rain (or snow), strong winds or other conditions that make it difficult to ensure the safety of participants, the Event will be canceled.
If the Event is canceled, we will notify you on the special website and also contact you by email by 7:00pm on December 30th (Sat), the day before the event. We will also post a notice on the special website.
In addition, due to sudden changes in the weather, etc., some or all of the Event may be canceled or the content may be changed on the day of the event.
・Can elementary school students, preschool children and minors also participate?
⇒Yes, they can.
However, minors (under 18) must be accompanied by a parent or guardian. Minors must be accompanied by a parent or guardian when participating in the Event.
・ Is there a place to change diapers?
⇒There is a multipurpose restroom behind the general information desk on the first floor of the Tokyo Metropolitan Government Building No. 1.
Please allow yourself plenty of time to use it, as it is some distance from the venue.
・Are cancellations allowed?
⇒In principle, cancellations are not possible, but if it is unavoidable, please contact the Management Office.
